Procedures on Conference Room Use

The Department of Capital Asset Management and Maintenance has compiled a list of available meeting venues across the state. Meeting spaces and conference rooms are for use by State of Rhode Island agencies, committees, commissions and Unions and can be accessed by clicking on the left side menu item ‘Meeting Venues’. Each location includes specifications for each meeting space and the appropriate contact person(s) for booking each venue. While the information provided is deemed to be reliable, please plan well enough in advance when scheduling your meeting to confirm room availability, audio/visual equipment and room capacity with the meeting venue contact.

The hours of operation for most conference rooms is 8:30 am to 4:00 pm, Monday through Friday excluding State Holidays. After-hours meetings will require additional janitorial staffing and Capital Police coverage which would be the responsibility of the organizer. Chairs and tables are set-up in a general configuration. If you require a special set-up, please discuss this with each Booking Contact in advance of your meeting. Requests for audio visual equipment may be made in advance through DoIT.

Requests for use by outside organizations and agencies will be considered on a case by case basis and fees will apply.  

State buildings, excepting its higher education facilities in limited circumstances, are not available for political events or forums.
